Document Screen

Data is captured on the following tab(s) of the edit screen: Overview. Below is a list of descriptions for the fields in the sections on each tab.

Overview

The Overview tab contains the following section(s):

Header

  • Entity: The entity to which the document record is linked.
  • Document Record: The relevant document record.
  • Copy Document Link: When a document is linked to a standard task, regular asset type task or regular asset task record, the user is prompted to specify whether the document link should be copied to any new work orders or work order tasks that are linked to the standard task, regular asset type task or regular asset task. Possible values are:
    • Do Not Copy Link (default): The document link is not copied to any newly linked work order or work order task record(s). The document will only be accessible from the standard task, regular asset type task or regular asset task Documents tab and from the Standard Task, Regular Asset Type Task- or Regular Asset Task Document dashboard.
    • Copy Link to Work Orders: The document link is copied to all newly linked work order record(s) that include the original or inherited asset task. The document will be accessible from the work order Documents tab and from the Work Order Document dashboard.
    • Copy Link to Work Order Tasks: The document link is copied to all newly linked work order task record(s). The document will be accessible from the work order task Documents tab and from the Work Order Task Document dashboard.
    Copy Document Link only applies to standard task-, regular asset type task- and regular asset task records.
  • Permission Tree: A field linked to a permission record in a permission tree, that determines whether a user has rights to access records and/or make changes to records. This is assigned by the system where possible.
  • Sequence Number: The sequence in which the records are listed. Use the sequence number to list the records in a logical sequence.
  • Is Copied Document Link: Indicates whether the document link has been copied from a standard task, regular asset type task or regular asset task. Possible value are:
    • True: the document was copied from a linked or original asset task (when the inheritance is broken, the linked standard task becomes an original asset task)
    • False: the document was manually linked to the work order or work order task.
    Is Copied Document Link only applies to work order- and work order task records.
  • Is Active: Ticked if the record is active and available in lookup lists.

Development

  • Development Status: The development functionality identifies and controls the different stages of development and the entity's inheritance information. This section is autopopulated and requires no user input.
  • Is Inherited: Indicates whether this is an inherited record.
  • Last Confirmed On: Date on which the record was last confirmed.

Notes

Add additional details, comments or other relevant information.

Modification

Displays details of when the record was created and last updated. This section is autopopulated and requires no user input.

Assist custom actions

The following custom actions are available in the Assist panel in the sidebar. Keep in mind that some of these custom actions are only available from the edit screen, while others are available from both the dashboard and edit screen.
